Google Workspace vs Microsoft 365 for Small Business: An Honest Comparison



Both platforms are excellent, and pretending otherwise is salesmanship. The honest version: Google Workspace wins on simplicity for browser-native teams, and Microsoft 365 wins for businesses that live in Excel, Word, and Outlook, need desktop apps, or face compliance requirements. Most 10-to-75-person offices in our area fall in the second group.


Where Google Workspace genuinely wins


Teams born in the browser. If your business runs on shared docs, Gmail, and Meet, and nobody opens a desktop app all week, Workspace is clean and fast. Startups and creative shops often fit here.


Where Microsoft 365 wins


The desktop apps are the real ones. Excel in a browser is not Excel to an accountant. Outlook, Teams, SharePoint, and OneDrive integrate with the security stack, with Defender watching identity, email, and devices together. For HIPAA-conscious practices and businesses with compliance obligations, the Microsoft ecosystem's controls and documentation run deeper.


The costs nobody compares


License prices look similar on paper. The differences hide in what surrounds them: security tooling, device management, and whether your IT provider actually knows the platform deeply or supports it reluctantly. A platform is cheap; a platform nobody manages well is expensive.


What switching actually involves


Mail, calendars, contacts, and files migrate with a plan and a rollback, typically over a weekend. Your team keeps their addresses and history. Monday morning, email simply works. The fear of switching keeps businesses on the wrong platform for years longer than the switch itself takes.
